Use a freight shipping estimate while dimensions are still approximate. Convert it to a quote once weight, class, and docks are known.

A freight shipping estimate exists for the week when marketing sold the order but warehouse has not built the pallets. You know the destination city and a weight range. You do not yet know stack height, whether a liftgate appears, or if purchasing will split the order into two LTL bills. An estimate is a band with named assumptions—not a promise to the carrier.

What belongs in a freight shipping estimate
The mode you think you need, a weight and cube range, a lane, and a list of extras you might hit. Write the assumptions in the email: “assumes dock-to-dock, class 70, no extra stops.” If those lines are missing, you received a marketing number, not an estimate.
Fuel should be called out as index-based or included. Otherwise the band will look stable while diesel is not.
Events that retire the estimate
Final scale weight, a class change after you calculate density, an added stop, a missed appointment that creates detention, or a border dwell you did not mention. Each one is a legitimate reprice. Pretending the original band still governs is how AP and the broker end up in a thread nobody wanted.
Estimate, quote, and the invoice
The estimate plans cash. The quote prices the tender you intend to sign. The invoice bills what actually moved. Those three documents should tell one story. When they do not, the gap is almost always operational: the freight or the facility changed.
- Re-measure after packaging changes.
- Re-state accessorials if the delivery site changes from warehouse to store.
- Re-check FTL versus LTL if pallet count jumped.
